## Connect an AI assistant: the PracticPro MCP server

PracticPro runs an official remote MCP (Model Context Protocol) server. Connect it to Claude, ChatGPT, Gemini, Microsoft Copilot Studio, Perplexity, Grok, Mistral, Cursor, VS Code, Claude Code or any other MCP client, sign in with a PracticPro user, and the assistant can look up and update contacts, jobs, estimates, invoices, payments and documents in plain English, with exactly that user's permissions.

## What PracticPro does, area by area

A closer look at each part of PracticPro, beyond the feature list above.

### Contacts and CRM

- Every call, text, email, project, appointment, invoice, payment and file for a client lives on that contact's page.
- One form creates a new lead, books the first meeting and assigns the salesperson; a lead becomes a client on the same record, with nothing to convert.
- Contacts can be tagged, tracked by lead source and filtered by their work or by an area drawn on a map, and a filter can be saved as an audience that stays current.
- PracticPro warns about duplicate contacts, can send one statement covering several projects, and shows what a client has opened.
- Contacts can be imported in bulk from CSV or Excel with column mapping, and an import can be undone.
- Data Sources turn website form submissions and partner leads into contacts automatically, with nobody retyping them.

### Projects and work items

- Each project (companies can call it a job, case or account instead) has its own schedule, files, team and books showing sales, collected and pending amounts.
- A project holds work items: each agreed, priced piece of work, such as the original sale, a change order or a work order. Work items move through workflow stages you define, which gives a pipeline view.
- Creating a project can create its priced work item and a draft proposal in one step, and converting a meeting into a project carries over the address, team and photos.
- Work items can be moved to another project or split into their own, and projects can be flagged for follow-up, shown on a map or restricted to named people.

### Scheduling, tasks and calendar

- Activities can invite team members, contacts or any email address, and invitees confirm or decline from a link without signing in.
- Reminders go out ahead of each activity on the channels you choose, activities can repeat or add linked follow-up visits, and they can carry a Google Meet link.
- Visit checklists can require a photo for each item and a written visit report, and can be saved as templates.
- Each project has calendar, Gantt and task views; Gantt dependencies can schedule the next item automatically, and tasks have due dates and can be completed in bulk.
- Activities sync to Google Calendar, and Google's own events can optionally be shown in PracticPro too.

### Phone, texting and call handling

- Each person chooses whether calls ring in the browser, in the PracticPro phone app or on their own cell phone, while clients always see the company number.
- Companies can get local or toll-free numbers, port numbers they already own, connect their own carrier account, or put a company number on a phone with a SIM card or eSIM.
- Call routes combine recorded or spoken greetings, keypress menus, the people or teams to ring, and voicemail.
- A number can text missed callers back automatically, and photos clients text in can be filed onto their project in one tap.
- Recorded calls are transcribed automatically, with optional AI summaries of key points and action items.
- Supervisors can listen in on a live call, whisper to the team member without the client hearing, or join the call.

### Email

- Emails PracticPro prepares, such as invoices and reminders, wait as drafts for review, and sent email is filed on the contact's record.
- One email can go to everyone together or as separate private copies, including to a saved audience.
- Sends can be scheduled, carry stored files as attachments, use templates that fill in client details, and go out from the company address or your own.

### Documents, e-signature, files and photos

- Proposals, contracts and forms are built from templates with your header, the client's details, shared sections and a priced line-item table.
- Documents can collect text, dates, choices, file uploads, signatures and separate initials, and can be sent by email, text, link or QR code.
- Signers accept an e-signature disclosure first, and every finalized document comes with a Certificate of Completion audit trail.
- Finalizing locks the signed document, approves the work and can create the invoice from the document's line items.
- An answer on one document can start a follow-up document, and corrections a client makes can update your records automatically.
- Files attach to projects, work items, activities, contacts, team members and money records, such as a receipt on an expense.
- The job site camera files photos to the nearby project, keeps working with no signal, and accepts files from the phone's share menu.

### Invoices, payments and expenses

- Invoices move from draft to due to paid, with a reusable line-item catalog, cloning and automatic receipts.
- Milestone billing (deposit, progress and final payments) works by splitting the agreement's invoice, so each payment stays tied to the line items the client agreed to.
- One payment request link lets a client pay several invoices at once, even across projects, and clients can pay a request by photographing both sides of a check on their phone.
- Reimbursement invoices bill clients back for costs you fronted, and stay out of sales and commission.
- QuickBooks Online sync covers customers, projects, vendors, bills, expenses, estimates, invoices and payments, with the sync direction set for each type.

### Paying subcontractors, sales reps and crews

- Each assignment sets how a person is paid on a project: a flat amount, a share of collections, a share of profit, or a mix.
- Assignees submit invoices, reimbursements or one bundled payment request for you to approve.
- Commission can be split by each person's stake, taken after admin fees such as lead costs, and adjusted by hand.
- An assignee can be settled across all their projects in one payment and emailed a statement.
- The Checkbook prints numbered checks, signs and emails them, reconciles cleared checks, and prints a line anyone can use to verify a check.

### Client portal, subcontractor portal and team access

- Clients sign in to see their projects, schedule, invoices, payments and files, and can pay, confirm appointments and upload documents.
- You choose per client what they can see, and can view the portal exactly as that client does.
- Subcontractors get a simpler portal with their assignments, files, invoices, reimbursements, pay history and payment requests.
- Team access combines role-group permissions, a records filter (for example by region), and access lists on individual items.

### Automations

- Automations (called scenarios) start from events on records, statuses, payments, documents, emails, calls and texts, or from timers such as "invoice overdue" or "nothing happened for a number of days".
- Steps can send messages, send documents for signature, wait, branch, update records, create tasks, invoices or projects, ask the client to pay, or call a webhook.
- Exit conditions, quiet hours, test runs, run history and applying a scenario to existing records are built in.

### Custom fields, lists, dashboards and insights

- Custom fields can be added to most record types, made required, conditional or restricted, and filtered and reported on.
- Company lists set project types, tags, lead sources and payment methods.
- Custom pages can be filtered lists, formula tables, dashboards or Kanban boards that can be charted, drilled into, printed or exported.
- Insights compares each metric with the previous period, from collections and sales to days-to-approval and inbound calls.

### Websites

- Hosted websites open WordPress admin in one click, keep site logins stored, and track which search keywords the site gains or loses.
- Site maintenance tools, backup restores and a higher protection level for a site under attack are available from the same dashboard.
- Posts and pages can be edited in PracticPro, and a content queue runs from order to publish.

### AI

- The built-in AI Assistant answers questions about your own records, remembers your preferences and takes voice input.
- AI agents can answer the company's phone numbers and texts as a receptionist, with a chosen voice, language and knowledge base, and can be tested in a preview conversation first.
- AI agents also run scheduled tasks from plain instructions and keep a history of every run.
- Outside assistants such as Claude and ChatGPT connect through the PracticPro MCP server, described above.

### Account, search and safety

- Your logo and colors appear on invoices, documents, emails, your login page and link previews.
- Notifications arrive in the app, by push and by text, and tagging someone in a comment notifies them.
- One search covers contacts, projects, invoices, files, websites and help articles, with field filters.
- Deleted records go to Trash and are restored together with everything under them.

## How a job flows through PracticPro

1. Create the contact and book the first meeting on the same form.
2. Hold the meeting, then convert it into a project.
3. Enter a price and pick a template, which creates the work item and a draft proposal.
4. Release the proposal for signing (PracticPro calls this officializing) and send it; the client signs.
5. Finalize: the work is approved, the project moves into progress, and the invoice is created.
6. Bill in milestones if needed, send each invoice, and record the payments.
7. Fully paid work completes itself; close the project when everything is done. Extra work later becomes a new work item on the same project.

## PracticPro terms

- **Project**: one piece of work for one contact. Companies can rename it, for example to Job, Case or Account.
- **Contact**: someone who pays you. Leads and clients are the same record.
- **Work item**: one agreed, priced piece of work on a project, such as a sale, change order or work order.
- **Approved**: a work item the client agreed to, so it counts as sales.
- **Assignee**: someone you pay, such as a subcontractor, salesperson, technician or vendor.
- **Assignment**: one assignee on one project, holding how they are paid.
- **Activity**: anything scheduled at a time. A **task** has a due date but no calendar slot.
- **Officialize**: release a document so recipients can open and sign it.
- **Finalize**: lock a signed document and approve its work, usually creating the invoice.
- **Transaction**: money that actually moved, in or out.
- **Payment request**: for clients, one link to pay several invoices; for assignees, a bundle asking you to pay them.
- **Reimbursement**: billing a client for a cost you fronted, or owing an assignee for one they fronted.
- **Stake**: an assignee's percentage share of a project's commission.
- **Admin fee**: a referral, platform or lead cost taken from an assignee's share before commission.
- **Scenario**: an automation, a trigger followed by steps.
