This Acceptable Use Policy ("AUP") describes the activities and content that are not permitted on PracticPro. It applies to every customer of the PracticPro Services and every user acting under a customer account.

By using PracticPro, you agree to comply with this AUP. Violating it may result in suspension or termination of your account in accordance with our Terms of Service. This AUP supplements the Terms of Service; capitalized terms not defined here have the meanings given in the Terms.

Prohibited Content

You may not use the Services to store, process, transmit, or display content that:

  • Violates any applicable law or regulation.
  • Infringes the intellectual property rights, privacy rights, or other legal rights of any third party.
  • Is defamatory, obscene, harassing, threatening, hateful, or otherwise objectionable.
  • Promotes or facilitates violence, self-harm, terrorism, or the exploitation of minors.
  • Contains malware, viruses, worms, ransomware, or any other harmful or destructive code.
  • Contains stolen, fraudulent, or unauthorized payment data.
  • Constitutes the personal data of children under the age of 16, unless you have obtained parental consent in compliance with applicable law.

Prohibited Activities

You may not use the Services to:

  • Send spam or unsolicited communications. All marketing emails, SMS, and calls sent through PracticPro must comply with applicable law (including CAN-SPAM, TCPA, GDPR, and state privacy laws), including obtaining required consent and honoring opt-out requests promptly.
  • Send pretextual, deceptive, or fraudulent communications, including phishing.
  • Process personal data without a lawful basis. You are responsible for having a lawful basis to collect and process personal data of your clients, employees, leads, and contacts using PracticPro.
  • Record calls or conversations in violation of applicable law. Where the law requires consent from one or more parties to a call before recording, you must obtain that consent. PracticPro provides configuration options to help; you are responsible for using them.
  • Misrepresent the identity of any party, including spoofing caller ID, sender names, or sender domains in a way that violates applicable law.
  • Interfere with the Services, including attempting to gain unauthorized access, probing for vulnerabilities outside our Vulnerability Disclosure policy, or attempting to disable security controls.
  • Reverse engineer, decompile, or attempt to extract source code from the Services, except to the extent expressly permitted by applicable law.
  • Scrape, harvest, or use automated means to collect data from the Services in a manner that disrupts the Services or other customers, or that violates PracticPro's rate limits.
  • Resell, lease, or sublicense the Services without PracticPro's prior written consent.
  • Use the Services to compete with PracticPro or to build a directly competitive product.

AI and Automation

If you use PracticPro's AI features (including the Copilot, AI Receptionist, AI Workforce, or external AI assistants connected through MCP), you additionally agree to:

  • Disclose AI involvement to your end clients where required by law (including under California, Colorado, and EU AI Act transparency rules).
  • Not use AI features to generate or distribute content that is unlawful, deceptive, or fraudulent.
  • Not use AI features to make consequential decisions about individuals (for example, employment, credit, housing) without appropriate human review and disclosure.
  • Not direct AI features to access data or perform actions for which you do not have authorization.

Communications and Telephony Compliance

  • Obtain and document opt-in consent before sending marketing SMS or making telemarketing calls to consumers.
  • Honor STOP, UNSUBSCRIBE, and other opt-out requests promptly.
  • Respect quiet hours (8:00 a.m. to 9:00 p.m. local time, as required by the TCPA and similar laws).
  • Provide accurate identification of yourself or your business in every commercial message.
  • Comply with 10DLC and carrier-imposed registration requirements where applicable.
  • Do not use the Services to send SHAFT content (sex, hate, alcohol, firearms, tobacco) where prohibited by carriers or by law.

Industries Requiring Additional Care

If your use of the Services involves data subject to industry-specific privacy laws (such as protected health information under HIPAA, financial data subject to GLBA, or children's data subject to COPPA), you are responsible for ensuring your use is lawful. PracticPro does not currently offer a Business Associate Agreement under HIPAA; if your use case requires one, please contact us before storing protected health information in the Services.

Security Hygiene

  • Keep your account credentials secure. Do not share passwords. Use multi-factor authentication.
  • Provision access only to authorized personnel and revoke it promptly when no longer needed.
  • Notify us promptly at [email protected] if you suspect unauthorized access to your account.

Reporting Violations

If you believe another PracticPro customer or user is violating this AUP, report it to [email protected] with as much detail as possible.

Enforcement

PracticPro may, in its reasonable discretion, take any of the following actions in response to an actual or suspected violation of this AUP:

  • Investigate the matter, including reviewing relevant account data and communications.
  • Require you to take corrective action.
  • Suspend the affected functionality, the affected user, or the entire account.
  • Terminate the account in accordance with the Terms of Service.
  • Cooperate with law enforcement where required by law.

Where time permits and the violation is not severe, we will give you notice and an opportunity to cure before suspending or terminating. Severe violations (such as illegal content, ongoing harm to third parties, or threats to the security of the Services) may result in immediate action without notice.

Customers are responsible for their users. Each PracticPro customer account may have multiple users. The customer (the business that signed the Services Agreement) is responsible for ensuring its users comply with this AUP.

Changes

We may update this AUP from time to time. The current version is always at this URL. Material changes will be communicated in advance.
